Do you have the following requirements while working with Notes in Dynamics 365
- Upload multiple notes in one operation
- Option to add additional attributes related to each note record you upload.
- Ability to organize your notes into multiple folders
- Ability to drag and drop documents to create your notes
- Ability to show your notes in Dynamics 365 in a separate section outside Activity timeline.
If you any or all of these requirements, you are on the right blog. Welcome to the Notes Manager from XrmForYou – a utility to match all your needs you have dreamed so far for your Notes configuration in Dynamics 365/ CDS. For trial please email at info@xrmforyou.com.
So let’s get started. Once you contact our support team for trial, you will be provided with a managed solution.
Step 1 – Install managed solution provided by XrmForYou.
Step 2 – Using the configuration page
Once the solution is installed successfully, open the configuration page. You get a fully functional 15 days trial. And you can activate the trial using the license keys provided by XrmForYou team for your organization.
Once you have successfully activate the trial, you need to configure for the entity for which you need to show our notes control.
For this blog, I have selected the Opportunity entity.
Click on the “+” button on the right section to add a new Metadata.
You have couple of options while creating a new metadata. The first one “Write-In” and the second one is “Mapped”. When you create a Write-In metadata, the end user get a text box where they can key in any value of their choice.
You have few other options as well
- Show in CRM – If unchecked, the metadata won’t be displayed in Notes control on the form.
- Required? – If unchecked, the metadata is optional while creating a note record.
In the above screenshot, I have created a new Write-In metadata – Comments. And I have marked this as required.
The next Metadata is of type – Mapped. And I have mapped to a Global optionset – Document Type
So we have created couple of Metadata. The next is to set up the Control on your form.
Step 3 – Place control on the form
This is the next step. We have configured metadata for the entity. But now it’s time to place the control on the form. To do this, open the form of the entity where you want the Notes control. You can configure it anywhere in the form you like. For this demo, I have created a new tab “Notes”. Inside that, I have added the webresource to show the Notes Manager control.
Also make sure you drag and drop couple of fields on the form and hide them.
- Annotation Manager Folder
- Annotation Manager Placeholder.
Final set-up should resemble like below screenshot. This is the screenshot for classic UI. However you can perform the same in PowerApps designer.
Step 4 – Use the Notes Control
We are done with all configurations. It’s now time to see the tool in action.
